1. Nature of Service
VoiceDoc ("the Service") is an Artificial Intelligence ("AI") documentation assistant. You acknowledge that the Service uses Large Language Models to interpret audio. AI technology is inherently continuously advancing. At time it may produce "hallucinations," including incorrect dates, names, or technical data especially if inputs are unclear.
2. User’s Absolute Duty to Verify
The Service is a drafting tool only. It does not provide professional, legal, or safety advice.
* Final Review: You (the User) maintain 100% responsibility for the accuracy of any PDF or document generated.
* Verification: You must manually verify all "critical data points" (e.g., safety incidents, quantities, or structural observations) before sharing reports with third parties or government bodies.
3. Limitation of Liability
To the maximum extent permitted by the Australian Consumer Law:
* No Warranty: We do not warrant that the Service will be error-free or that the AI will correctly interpret 100% of your audio.
* Damages Cap: Our total liability for any claim (whether in contract, tort, or negligence) is limited to the total amount you paid us in the three (3) months prior to the claim.
* Indirect Loss: VoiceDoc is not liable for "consequential loss," including lost contracts, liquidated damages, or legal disputes resulting from an inaccurate AI-generated report.
4. Acceptable Use
You must not use VoiceDoc to record private conversations without consent (Privacy Act 1988). You represent that you have the right to record the audio uploaded to our servers.

Privacy Policy
1. Compliance
This policy complies with the Privacy Act 1988 (Cth) and the 2026 Automated Decision-Making (ADM) transparency requirements.
2. How We Use AI
As required by APP 1.7, we disclose that we use automated computer programs (AI) to process your personal information.
* The Process: Your voice recordings are sent to encrypted sub-processors (OpenAI) to be transcribed and summarized.
* The Result: This automation "directly supports" the creation of your business documents.
3. Data Siloing & Training
* No Training: We have "Opt-Out" agreements with our AI providers. Your business data and voice notes are not used to train public AI models.
* Retention: We only store audio files for 90 days to ensure your PDF was generated correctly, after which they are purged from our active database.
4. Overseas Disclosure
By using VoiceDoc, you consent to your data being processed in the United States (where our AI infrastructure is located). We ensure all overseas sub-processors meet Australian privacy standards for data encryption (AES-256).
5. Your Rights
Under 2026 reforms, you have the right to request an explanation of how our AI reached a specific summary of your data. Contact [email protected] for all access or deletion requests.
